1. Introduction
This Privacy Policy explains how Referrizer LLC, doing business as hireai.me ("hireai.me," "we," "us," or "our"), collects, uses, discloses, and protects personal information in connection with our website at https://hireai.me, our pre-sale website at https://presale.hireai.me (the "Pre-Sale Site") (together, the "Site"), and our AI-powered software services (the "Services").
This Policy covers three contexts:
- When we act for ourselves (a "business"/"controller"). When you visit our Site, inquire about or purchase our Services, reserve a Founders Rate account through our Pre-Sale Program, or use the Services as our customer, we determine how your personal information is handled.
- When we act on behalf of our customers (a "service provider"/"processor"). When a business customer uses our Services to interact with its own end users (for example, when a customer's AI Agent answers a call, records it, or messages a lead), that business customer — not hireai.me — decides why and how that end user's personal information is processed. In that context, we process the information on the customer's behalf and under the customer's instructions. If you are an end user (a caller, lead, or message recipient) of one of our business customers, please direct your privacy requests to that business. Our processing of such information is also governed by our Data Processing Addendum with that customer.
- The Pre-Sale Program. Before the Services are generally available, the Pre-Sale Site collects reservation information as described in Sections 2.5 and 3.1. The Pre-Sale Program itself does not process end-user Customer Data — no product access exists before Activation.
Franchise and multi-location context. Where a franchisor or brand headquarters ("HQ") and its corporate-owned or franchised locations use the Services, each location is generally the business responsible for its own members' personal information, and HQ may also be responsible where it directs use of data across locations. If you are a member, lead, or caller of a specific location, that location (and/or its brand HQ) — not hireai.me — determines how your information is used, and you should direct privacy requests to that business. Our role and the allocation of responsibilities are addressed in our Data Processing Addendum and Enterprise & Multi-Location Terms with the customer.
By using the Site or Services, you acknowledge this Policy. If you do not agree, do not use the Site or Services.
2. Information We Collect
2.1 Information You Provide
- Account and contact information: name, business name, email, phone number, billing details, and account credentials.
- Customer support and communications: information you provide when you contact us.
- Marketing information: information you submit through forms, demos, or sign-ups on our Site.
2.2 Information We Process on Behalf of Customers (Customer Data)
When a business customer uses the Services, the Services may process information about that customer's end users, including:
- Call data: phone numbers, call recordings, and call transcripts.
- Voice data: in certain configurations, voiceprints or other voice-derived identifiers (which may constitute biometric information).
- Messaging data: SMS/MMS content and metadata.
- Lead and CRM data: contact details, appointment and booking information, purchase history, lead scores, and notes.
- Knowledge-base content: business information used to power AI Agents, generated from publicly available website content the customer directs us to process and from content the customer provides.
We process this Customer Data as a service provider/processor on the customer's instructions. The business customer is responsible for providing privacy notices to, and obtaining any required consents from, its end users.
2.3 Information Collected Automatically
- Device and usage data: IP address, browser type, device identifiers, pages viewed, and interactions with the Site and Services.
- Cookies and similar technologies: see Section 8.
2.4 Information from Third Parties
We may receive information from payment processors, telephony providers (e.g., Twilio), integration partners (e.g., booking and CRM systems), analytics providers, referral and affiliate platforms, and publicly available sources. If we contact you through business outreach before you visit us, we may already hold your business contact information obtained from public business listings and licensed data providers, and we may associate any later inquiry or Reservation with that record in our CRM.
2.5 Pre-Sale Reservation Information
When you reserve a Founders Rate account on the Pre-Sale Site, we collect:
- Reservation details: your name, business name, email, phone number, business location details, and number of licenses reserved.
- Payment information: collected and stored by Stripe, our payment processor. We receive limited information (such as card brand, last four digits, and billing status) but never your full card number. No charge is made at reservation; the stored method is charged only as described in our Terms of Service.
- Campaign and referral attribution: campaign parameters attached to the link that brought you to the Pre-Sale Site (such as utm_source, utm_medium, utm_campaign, and utm_content values), the referring website, and — if you arrived through a referral partner — a referral identifier used by our affiliate platform (First Promoter) to credit the partner who referred you.
- Consent records: the terms version you accepted, the state of consent checkboxes, and timestamps.
3. How We Use Information
When we act as a business/controller, we use personal information to:
- provide, operate, secure, maintain, and improve the Site and Services;
- create and manage accounts and process payments;
- communicate with you, including service, billing, and (where permitted) marketing messages;
- provide customer support and respond to requests;
- monitor for, prevent, and address fraud, abuse, security incidents, and violations of our terms;
- comply with legal obligations and enforce our agreements;
- generate aggregated or de-identified analytics.
3.1 Pre-Sale Program Uses
We additionally use Pre-Sale reservation information to:
- process and manage your Reservation, including cancellation and refunds;
- charge your stored payment method only as authorized under our Terms of Service, and send billing-related notices;
- send transactional communications about your Reservation (confirmation, activation timing, delay notices, pre-charge reminders, and changes to terms — these are sent to all Reservation holders and are not marketing);
- send marketing communications where permitted (see Section 11);
- attribute Reservations to marketing channels and referral partners, including calculating referral commissions.
We do not use Customer Data to train publicly available, general-purpose AI models, and we do not sell personal information. We may use aggregated and de-identified data that cannot reasonably identify an individual to operate and improve the Services.
When we act as a service provider/processor, we use Customer Data only to provide the Services to the relevant business customer and as permitted by our agreement with that customer.
4. How We Disclose Information
We may disclose personal information to:
- Service providers and subprocessors that help us operate the Site and Services (e.g., cloud hosting, telephony/messaging carriers such as Twilio, payment processors such as Stripe, AI/LLM providers, analytics, email/SMS delivery providers, CRM systems, our affiliate platform First Promoter, and support tools), under contracts that restrict their use of the information.
- Referral partners: the partner who referred you may learn that their referral converted, for commission purposes; we do not share your payment details with partners.
- Integration partners you connect to your account (e.g., booking and CRM systems), at your direction.
- Business customers, where you are their end user (we return the relevant data to the customer that controls it).
- Corporate affiliates under common ownership with Referrizer LLC, for the purposes described in this Policy.
- Legal and safety recipients, where we believe disclosure is required by law, regulation, legal process, or a governmental request, or necessary to protect rights, safety, or property.
- Corporate transaction parties, in connection with a merger, acquisition, financing, or sale of assets, subject to confidentiality; the protections of this Policy follow the data.
We do not sell personal information, and we do not "share" personal information for cross-context behavioral advertising as those terms are defined under California law. If we later introduce advertising or retargeting technologies that would constitute "selling" or "sharing" under applicable state privacy laws, we will first update this Policy and provide the legally required opt-out mechanisms before those technologies are enabled. See Section 6.
5. AI Agents, Calls, Recordings, and Voiceprints
Some Services place or answer calls, send or receive messages, record and transcribe calls, and (in certain configurations) process voiceprints, on behalf of our business customers.
- The business customer controls these features and decides whether to enable recording or voiceprint processing.
- The business customer is responsible for providing legally required disclosures and obtaining consents from end users, including two-party/all-party recording consent where required (e.g., under CIPA and similar laws) and written notice and consent for biometric/voiceprint processing where required (e.g., under BIPA).
- Where the Services place or answer calls using artificial intelligence, the relevant business customer is responsible for AI-disclosure to end users.
- As a processor, we retain and delete this data according to our customer's instructions and applicable law. Our own retention practices are described in Section 9.
Pre-Sale note: the Pre-Sale Program itself does not record calls through the HireAI product (the product is not yet active). If you speak with our sales team or an automated assistant and the call is recorded or transcribed, you will be told at the start of the call.
If you are an end user and have questions about a recording or voiceprint, contact the business you interacted with. If you cannot reach that business, you may contact us at support@hireai.me and we will route your request to the appropriate customer.
6. Your U.S. State Privacy Rights (Including California)
Depending on your state of residence, you may have rights with respect to personal information that we control. This Section primarily addresses the California Consumer Privacy Act, as amended by the CPRA ("CCPA"), and similar rights may apply under other state laws.
6.1 Your Rights
Subject to verification and legal exceptions, you may have the right to:
- Know/Access the categories and specific pieces of personal information we have collected, the sources, the purposes, and the categories of recipients.
- Delete personal information we collected from you.
- Correct inaccurate personal information.
- Opt out of "sale" or "sharing" of personal information. We do not sell or share personal information, so no action is required, but you may still submit a request.
- Limit use of sensitive personal information.
- Non-discrimination for exercising your rights.
6.2 Sensitive Personal Information
Certain data we process on behalf of customers (e.g., voiceprints/biometric identifiers, precise contents of communications) may be "sensitive personal information." We use such information only for permitted business purposes (providing the Services on the customer's instructions) and not to infer characteristics about you.
6.3 How to Exercise Rights
- If we are the controller of your information (e.g., you are a Site visitor, a Pre-Sale Reservation holder, a prospect, or our account holder), submit a request to support@hireai.me or (855) 773-0774.
- If you are an end user of one of our business customers, the business customer is the controller; submit your request to that business. We will assist our customers in responding as required.
We will verify your identity before fulfilling a request and may decline requests as permitted by law. You may use an authorized agent. We will respond within the timeframes required by applicable law.
6.4 Categories of Personal Information (CCPA Disclosure)
In the preceding 12 months (this is a rolling disclosure updated as our practices change), we have collected the following categories of personal information (as defined by the CCPA): identifiers; commercial information (including Pre-Sale reservation records); internet/network activity (including campaign attribution data); audio/electronic information (e.g., call recordings); professional/employment information; and, in certain customer configurations, biometric information (voiceprints) and sensitive personal information. We collect these from the sources, and disclose them to the categories of recipients, described in Sections 2 and 4. We have not sold or shared personal information in the preceding 12 months.
7. Children's Privacy
The Site and Services are not directed to children under 18, and we do not knowingly collect personal information from children. If you believe a child has provided personal information, contact us at support@hireai.me and we will take appropriate action.
8. Cookies and Tracking
We use cookies and similar technologies on the Site that are strictly necessary to operate the Site and remember your preferences. The Pre-Sale Site additionally uses first-party analytics and campaign-attribution technologies (including capture of UTM parameters and referring URLs) to measure which marketing channels lead to visits and Reservations. We do not use the Site to serve third-party advertising or to track you across other websites for cross-context behavioral advertising. You can control or disable cookies through your browser settings, though some features — including the reservation flow — may not function without essential cookies. If we introduce advertising cookies or cross-context tracking in the future, we will update this Policy and provide a cookie-preference tool and opt-outs where required before enabling them.
We honor recognized opt-out preference signals (such as Global Privacy Control) where required by law.
9. Data Retention
We retain personal information for as long as necessary to provide the Services, comply with legal obligations, resolve disputes, and enforce agreements.
- Account and billing data: retained for the life of the account and as required for tax/recordkeeping.
- Pre-Sale Reservation records (identity, terms accepted, consent checkboxes, timestamps): retained for the life of your customer relationship plus the period needed for legal, tax, and dispute-resolution purposes. For cancelled or expired Reservations, core records of the reservation, cancellation, and any refund are retained for the same legal-defense period; marketing use of the record stops on cancellation unless you separately remain opted in.
- Customer Data (including call recordings, transcripts, and voiceprints): retained and deleted according to each customer's configuration and instructions, and otherwise as described in our DPA. Customers can export and request deletion of their Customer Data as described in our Terms.
- Call recordings and transcripts: retained according to each customer's configuration and instructions during the life of the account and, absent a different customer instruction, deleted within 90 days after the closure of the customer's account, except where longer retention is required by law or to resolve a dispute.
- Voiceprints/biometric identifiers (where processed): retained only as long as needed for the purpose for which they were collected and, absent a different lawful instruction, deleted within 30 days after that purpose ends or the customer's account closes, in accordance with applicable law and the controlling customer's retention policy.
- Marketing contact data: retained until you opt out or after a prolonged period of no engagement, after which it is suppressed or deleted.
10. Data Security
We maintain commercially reasonable administrative, technical, and organizational safeguards designed to protect personal information, including tenant isolation (e.g., database row-level security) so that one customer cannot access another customer's data, access controls, and encryption in transit. Payment card data is handled by Stripe under PCI-DSS. No system is completely secure, and we cannot guarantee absolute security; we will notify you of a data breach where the law requires it.
11. Marketing Communications
Email: marketing emails include an unsubscribe link; you may also opt out by contacting support@hireai.me. Opting out of marketing does not stop transactional and service-related messages (including Reservation notices), which we must send you.
Text messages: we send marketing text messages only if you gave express consent (for example, by checking the SMS consent box on a form). Consent to receive texts is not a condition of reserving or purchasing. Reply STOP to any message to opt out and HELP for help; message and data rates may apply; message frequency varies. Opt-outs are honored promptly.
Calls: if you ask us not to call you, we add you to our internal do-not-call list. You may request our internal do-not-call policy at support@hireai.me.
12. International Users
The Services are intended for use in the United States, and personal information is processed in the United States. We do not direct the Services to individuals in the EU/UK. If you access the Services from outside the United States, you do so on your own initiative and are responsible for compliance with local law.
13. Changes to This Policy
We may update this Policy from time to time. We will post the updated version with a new "Last Updated" date and, for material changes, provide additional notice where required (including email notice to Pre-Sale Reservation holders for changes materially affecting them, at least 14 days before taking effect where practicable). Changes are not retroactive to data practices you were not told about.
